Click Renewals in the top menu, then click the + Add Renewal button at the top right. Select a category from the list, which is drawn from Master Record. Enter the product name. Select the customer name, which is drawn from the Customer menu. Enter the register/activation date, then either select a duration or enter the expiry date manually. Enter the unique ID/key for the product, then the number of seats/users.
Go to Master Record → Category. Click the +Add New Category button at the top right. Enter a unique category name. Choose a label colour for the dashboard reminder. Set up the email notification for the expiry action — for example, set the Renewal status to 30 days before expiry, set the notification timing to Evening, then select an email template. The system will then automatically send the customer one renewal reminder 30 days in advance. Now set up the SMS notification the same way.
Enter a template title that will help you recognise it when selecting. Now enter the mail subject. In Mail Template you can add your own text and paragraphs. You can use the fields listed above the mail template — just copy and paste the [] placeholder into your text.
Go to Master Record → Mobile Template, then click the + Add New Mobile Template button at the top right. Enter a template title that will help you recognise it when selecting. Enter your text in SMS Template. The text limit is 120 characters per SMS. You can also use the fields shown at the top. Set the default template based on before or after expiry.
Custom fields are used to capture extra detail about a renewal. Every industry and product has its own specifics, which may call for custom fields such as Name of Department, Billing Instruction or Extra Note. Once you have set up a custom field you can use it on a renewal, and filter by its value. To add a new custom field, go to Master Record → Custom Field and click +Add New Custom Field at the top right. Enter the field name, then select the field type. Fields come in three types: Text, Number and Date. Text is for ordinary text values such as department name or billing instruction. Number is for numeric values such as amount, rate or discount. Date is for date values such as invoice date or billing date.

A product owner can manage the renewals assigned to them. Product owners will also receive email and SMS notifications if these are enabled in Account Information.

On the next step of a new renewal you can manage the attachments for that renewal. The attachment limit is 10MB per renewal. You can attach .jpg, .png and .pdf documents.

As mentioned above, custom fields record extra detail about a product. Here you can see the list of custom fields you created in Master Record, and enter the values needed for a particular renewal.

Go to Renewals in the top menu. The renewals list appears based on the selected filter. You can change the filter using the Sort By option at the top right, and set how many records show per page by clicking Row/Page. To filter renewals, select a Filter By field. When you select a field, the system displays the matching dropdown or text box. Enter or select your value, then click the Search button. You can also filter by multiple options, which appear below the first field.

Click the Customize Table button at the top right. The list shows the current table view. You can move columns left and right using the arrows. To add or remove a field, use the +/- links to the right of the field list. You can also add or remove the custom fields listed at the bottom. Once the table is set up, click the View Renewal button at the top right.

Click the Export button at the top right to export the data to an Excel sheet.

Act on Renewal is an important tool for recording customer communication. You can enter the details of a customer conversation in Act on Renewal, and the system stores previous records for future reference.

Click Renewal Detail in the Action column to edit, renew or view the details of a product. The popup shows all the details of the renewal. You can also assign tags, which are drawn from Master Record → Tags, and change the values of custom fields. Click the Edit or Renew button to continue. You can also email the product description using the Mail button.
